What is a fake order? (and how to protect your COD stock)
A fake order is a cash-on-delivery order placed as a prank or by mistake with no intention to accept it, and a quick WhatsApp confirmation step can protect your stock.
What it means
A fake order is an order that nobody really wants. Maybe a bored person placed it as a prank. Maybe a relative typed a wrong number. Maybe someone ordered on impulse and forgot. With cash on delivery, the buyer pays nothing up front, so there is no cost to them for ordering and walking away.
You pack it, pay the courier, and the parcel comes back. Meanwhile the item sat unavailable for other buyers. For the wider cost picture, see what RTO is and why it hurts sellers.
Signs that something may be off
None of these prove anything. They are only reasons to double check.
- The phone number looks wrong or does not connect.
- The name or address looks like random typing.
- A large order from a first-time customer with a very vague address.
- The customer does not reply to any message.
Do not judge a person by their name, area or language. Judge the quality of the information, as explained in spotting risky COD orders without profiling customers.
A simple confirmation step
The most useful habit is a short message sent on WhatsApp before you ship. For example:
"Hi Anita, thank you for your order of the brass diya set, Rs 1,200 payable on delivery. Please reply YES to confirm your address in Pune 411001, and we will dispatch tomorrow."
Then wait. If the customer replies yes, ship. If there is silence after a reasonable time, try once more, perhaps with a call, and hold the parcel back if you still hear nothing. Tell them politely that the order will wait until they confirm.
Ideas for wording and timing are in confirming COD orders before you ship and the best time to call a COD customer.
Hold, do not accuse
If someone does not reply, they might simply be busy, asleep or away from their phone. Treat silence as "not confirmed yet", not as proof of a prank. Keep your tone friendly so a real buyer who is slow to answer does not feel insulted.
What Varchas can and cannot do
I am not going to claim that Varchas detects fake orders automatically, because I could not find that in the code. Treat confirmation as your own process. What the platform gives you is the order details in your admin, including the customer's contact and address, so you can reach out before you pack.
Other ways to reduce the risk
- Offer prepaid at checkout with a small, honest incentive. See COD vs prepaid: how to guide customers.
- Ask for a small part payment on larger or riskier orders, as in when to ask for a part payment on COD.
- Collect clear addresses with a landmark and pincode, so honest orders are easy to deliver.
- Keep a short note of orders that came back, so you can see patterns in what went wrong.
If a parcel comes back
Check it, restock if it is sound, and note the reason. What to do with a returned RTO parcel covers the steps.
Where to start
Write your confirmation message once and save it as a reusable text on your phone. Use it for your next five COD orders, and see how many people answer.
