How to confirm a COD order before you ship it
A short confirmation message or call before dispatch catches wrong numbers, changed minds and address gaps while the parcel is still on your table. Here is a routine you can run in minutes.

Why confirm at all
When a customer places a cash on delivery order, nothing has been paid and nobody has spoken. The order is only an intention. Shipping it straight away means you gamble the courier cost, the packaging and the stock on that intention.
A short confirmation step turns the intention into a mutual agreement. It will not remove every return, nothing does, but it gives you a cheap chance to find problems before they become expensive.
Pick one routine and stay consistent
You have two main options, and many sellers use both in order.
A message first. Send a WhatsApp message soon after the order arrives. It is quick, the customer can reply when convenient, and you keep a written record.
A call if there is no reply. If the customer does not respond within a reasonable time, try one call. If that also fails, hold the parcel and try once more the next working day.
Decide your own limits in advance, for example how long you wait before cancelling, and tell the customer politely. Having a rule saves you from deciding emotionally for each order.
What to confirm
Keep it short. Four things are enough.
- That the customer really placed the order and still wants it.
- The product and quantity, so there are no surprises.
- The full address with landmark and a working phone number.
- The exact amount to be paid at delivery.
If any of these is unclear, fix it now. It is far easier to correct an address in a chat than after a failed delivery attempt.
Be warm, not interrogating
Customers should feel looked after, not checked. Open with thanks, explain that you confirm every order so the parcel reaches them safely, and make replying easy, for example "Reply YES to confirm". Avoid phrases that sound like threats, such as "your order will be cancelled otherwise". Instead say that you will hold the order until you hear back.

Timing matters
Confirm on the same day if possible, within your working hours. Late-night messages feel pushy, and an order confirmed days later may meet a customer who has already forgotten. Record the outcome
Mark each order as confirmed, no reply, or cancelled by the customer. A confirmed order with a recorded reply is useful if there is a dispute later. A cancelled order is a parcel you did not waste money on.
Do not overpromise
Confirmation reduces risk, it does not erase it. A customer can still be out when the courier comes or change their mind at the door. Keep your expectations realistic and keep learning from the orders that still fail.
