How do you handle Rakhi orders sent to a sibling in another city?
Many Rakhi orders go to someone other than the buyer, so collect the recipient's details and a gift message clearly and set honest delivery expectations.
A large part of Rakhi shopping is sending something to a brother or sister who lives far away. That means the person paying and the person receiving are different, and that creates a few small problems you can solve ahead of time.
What the checkout collects
In Varchas Stores, the checkout asks for a name, email, phone, address, landmark, city, pincode and state, and the order's ship-to details become the delivery address. So a buyer can enter their sibling's address as the delivery address. I did not find a dedicated gift message field in the storefront checkout, so do not assume one exists.
That means you need another way to get the gift message and any extra instructions. Ask for them in your order confirmation message on WhatsApp, or put a line on the product page asking buyers to message you after ordering.
Details to confirm for every gift order
Send a short follow-up and ask for these.
- The recipient's name exactly as it should appear.
- A phone number that will answer, because couriers call.
- A landmark, and a flat or house number, as in why landmarks help delivery agents find homes.
- The gift message, if they want a card included.
- Whether the parcel should hide the price, if that matters to the buyer.
Mistakes in pincode are a common reason for delay, so read common pincode mistakes that delay orders and check each address.
Do not add personal details to the parcel carelessly
If a card includes a message, keep it inside the box, not on the outside. Do not write the buyer's name and phone on the outer label unless it is needed. Share only what the courier needs.
Set expectations on timing
Parcels going to other cities take longer, and busy weeks add more delay. Be honest in your messages.
- Give your dispatch date and describe delivery as an estimate.
- Tell far-away buyers to order earlier than nearby ones.
- Use a conservative cut-off date, as explained in how to announce festive shipping cut-off dates.
I am not listing which areas are covered or how long they take, since courier coverage changes. Check at booking time.
Plan for the unreachable recipient
A surprise gift means the receiver may not expect a call. Suggest that the buyer tells their sibling a parcel is coming, so the courier is not turned away. If the order is cash on delivery, a surprise parcel can be refused, so prefer prepaid for gifts. See handling customers who refuse COD at the door for why that matters.
Offer a tracking update
When you ship, send the tracking details to the buyer, who is worried about timing, not the recipient. A short message such as "Your Rakhi parcel has been dispatched, here is the tracking link" removes most anxious follow-ups. Our template set for where is my order messages gives you wording.
Keep notes on each gift order
Write the gift message and special instructions in the order notes or your own list so the person packing sees them. A missed card is a small error that disappoints the buyer on a day that matters to them.
