Start with your own policy

Before you write a single reply, know your own rules. Whether you offer exchanges, how long customers have, who pays the shipping and what condition the garment must be in are all your decisions. No law is being quoted here, and we are not saying exchanges are required. If you are unsure of your obligations, check current consumer rules with a professional.

What matters for replies is that they match your written policy every time. A customer will forgive "we do not exchange sale items" much faster than they forgive being told one thing today and another tomorrow. If your policy is not written yet, read writing a return policy for a small store first.

Template one: exchange allowed, standard

"Hi Anjali, thank you for telling me. I am happy to help with a size exchange. Per our policy, exchanges are open for [number] days after delivery, and the item should be unworn with tags attached. Which size would you like instead? I will check we have it."

State the conditions once, kindly, and ask the next question. Do not hide them.

Template two: asking for details to help them pick

"Hi Suresh, happy to look into this. Could you tell me your chest and waist measurements, or share the size you wore last time in another brand? I would like to be sure the new size works, so we do not have to repeat this."

Offering help choosing the right size saves you a second exchange. If you have a size chart, share it, and see make a size chart for your clothing store.

Template three: the new size is out of stock

"Hi Meena, thank you for your patience. Unfortunately the size you want is not available at the moment. I can offer you a different size, a store credit for the amount, or a refund according to our policy. Please tell me what you prefer."

Be honest about what you can offer. Only mention options that exist in your policy.

Template four: who pays shipping

If you charge for exchange shipping, say it before the customer ships anything.

"Hi Rohan, for exchanges, the return shipping is [paid by us or by you], and we send the new size [free or at cost]. I will share the pickup details once you confirm."

Whatever your rule is, apply it fairly to everyone. The guide on who pays return shipping, a policy decision can help you decide. Do not claim that any automatic exchange feature exists on your store unless you have actually set up a process for it, because you will be handling these by hand and through your own messages.

Template five: outside the exchange window

"Hi Kavya, thank you for reaching out. I am sorry, but our exchange window of [number] days has passed for this order, so I am unable to offer an exchange this time. I do not want to leave you without a solution. If it helps, I can [offer a small discount on your next order or similar, only if you truly would]."

Do not promise any gesture you are not ready to keep. For wording on declining kindly, see saying no to a return request politely.

Template six: confirming the exchange

"Hi Anjali, I have received your parcel and the exchange is approved. Your new size will go out [soon, once stock is confirmed, no fixed date unless you are sure]. I will send tracking as soon as it ships. Thank you for being so easy to work with."

Keep it simple for them

Customers asking for exchanges often feel awkward, as if they are causing trouble. A warm opening, one clear condition and one clear next step usually settles it. The post on handling size exchange requests for clothing goes deeper into the process behind the messages, and how to measure a garment for a size chart helps reduce them in the first place.
