What do I reply when I sent the wrong item?

When you ship the wrong product, own it in the first line, explain the fix clearly and then change something in your packing routine so it does not happen again.

Own it straight away

Sending the wrong item is a pure seller mistake, and the customer knows it. The best reply is the one that does not wobble. Say sorry plainly, say what you will do, and do not make the customer prove anything you can already see in your own records.

A long explanation of how it happened is not what they want. They want the right thing in their hands.

Before you reply

Quick checks make your reply accurate.

  • Ask for a photo of what arrived and the label, if you do not already have it.
  • Check your order record for what should have gone.
  • Check your stock for the right item, so you do not promise something you cannot send.

Only then decide what to offer. If you are unsure of timing, do not promise it.

Template one: standard apology and fix

"Hi Anjali, I am so sorry, we sent you the wrong item and that is our mistake. Could you share a quick photo of what you received? As soon as I have it, I will arrange to send the correct [product] to you. I will also arrange the pickup of the wrong one so you do not have to do anything."

Notice it promises an action, not a date. Say "I will confirm the dispatch date once I check stock today" rather than naming a day you cannot guarantee.

Template two: the right item is out of stock

"Hi Suresh, I am very sorry about the mix-up. Unfortunately the [product] you ordered is not available right now. I can offer you a full refund, or I can send you a different item of similar value if you would like to choose one. Please tell me which you prefer."

Be honest about what you can do. Let the customer choose, since they have already been inconvenienced.

Template three: a lower-value item was sent in error

"Hi Meena, I apologise, we packed the wrong colour. I can send the right one, or if you like the one you received, I can offer a partial refund of Rs [amount] for the difference. Whichever you prefer is fine."

Template four: the customer is upset

"Hi Rohan, you have every right to be annoyed, and I am sorry. I will personally make sure the right item reaches you. Please give me a few minutes to check and I will message you with the exact plan."

Keep it calm and short. Anger tends to cool when someone responds without arguing.

Who pays for the fix

The internal check so it does not repeat

The reply is only half the job. Each wrong shipment points to a gap in your routine. A few simple habits close most of them.

  • Pick items against the order list, not from memory.
  • Scan or tick each item as you pack it.
  • Keep similar products in different places on the shelf.

Keep a small log

Note the date, the order, what went wrong and what you changed. After a few entries, patterns emerge, such as two near-identical products getting swapped. Fix the pattern, and the errors vanish.
