How do I confirm a COD order politely on WhatsApp?

A short, friendly confirmation message that restates the order and asks for a simple yes can help you catch wrong addresses and wrong orders before the parcel leaves.

Why bother confirming

Cash on delivery makes it easy for a customer to order and just as easy to refuse at the door. Some of those orders are placed by mistake, with a wrong number, a half-written address or a changed mind. A quick confirmation before dispatch gives you a chance to catch these early, and gives the customer a chance to fix a detail.

It will not stop every refusal, and it should not feel like an interrogation. Think of it as a polite check, the same way a shop assistant says, "Is this the one you wanted?"

What a good confirmation includes

  • A friendly greeting with the customer's name
  • What they ordered, briefly
  • The delivery address and pincode
  • The amount to be paid on delivery
  • A simple request, such as "please reply YES to confirm"

Keep it to a few lines. People read these on the go.

Template one: standard confirmation

"Hi Anjali, thank you for your order with [Store]. You ordered 1 cotton kurta in size M, with Rs 899 to pay on delivery. We will ship to: [address, pincode]. Could you reply YES to confirm? If anything needs changing, just tell me and I will fix it before we pack."

Template two: address unclear

"Hi Suresh, thank you for your order. Before we ship, could you please confirm your full address with a landmark and the pincode? The courier needs them to reach you. Here is what we have: [address]."

Template three: a reminder if there is no reply

"Hi Meena, a quick reminder about your order. We would like to confirm the details before we pack. Please reply YES, or let me know if you would like to change anything. Thank you."

Template four: part payment option

If you ask for a small advance on certain orders, say so kindly and give the reason.

"Hi Rohan, for custom orders we ask for a small advance of Rs [amount] to start work, with the rest on delivery. I can send the payment link when you are ready."

Template five: thank you after confirmation

"Thank you, Kavya. Your order is confirmed. We will pack it and send you tracking details as soon as it ships."

Close the loop so the customer knows what happens next.

Do not overpromise or pressure

Be consistent

Confirm every COD order in the same way, so no one feels singled out. A short, kind message each time is part of how you treat customers fairly, and over time it quietly cuts the number of orders that go wrong.
