What is an order confirmation call? (and should you make one)
An order confirmation call is a quick check with a COD buyer before you ship, and this guide gives a short script and helps you decide when a call is worth the time.
What it is
An order confirmation call is a short phone call, made after someone places an order and before you dispatch it, to check that the order is real and the details are right. It is most common with cash on delivery, where the buyer has paid nothing yet.
The call has two jobs: confirm that the person wants the order, and confirm the address so the courier can find them.
Should you make one?
It depends on your volume and your risk. A seller with five orders a day can phone every COD buyer in ten minutes. A seller with a hundred cannot, and would need a message-first approach. I am not claiming that calling lowers returns, because I have no figures to show that. Think of it as a way to catch obvious problems, like a wrong number or half an address, before you spend on packing and shipping.
Good times to call:
- COD orders, especially a first order from a new customer.
- Higher value orders, where a return would hurt more.
- Orders with an unclear or incomplete address.
- Made-to-order items, where you need to confirm size or colour.
You may decide to skip it for prepaid orders and returning customers.
A short script
Keep it under a minute. Be friendly and clear.
"Hello, is this Suresh? This is Priya from Kaveri Handlooms. You ordered a cotton saree on our store today, payable on delivery at Rs 1,450. I am calling to confirm. Is the address correct: flat 12, Lakshmi Apartments, near the temple, Hyderabad 500072? Great. It will be dispatched tomorrow, and the courier will call before delivery. Please keep the amount ready. Thank you!"
Notice the pieces:
- Say who you are and why you are calling, so they do not hang up thinking it is spam.
- Read the order and the amount back to them.
- Check the address aloud, including the landmark and pincode.
- Tell them what happens next.
If they do not pick up
Do not call again and again. Try once, then send a message on WhatsApp with the same details and a simple yes request, and try a second call at a different time of day. The best time to call a COD customer has ideas. If you still hear nothing, hold the order and wait rather than shipping blind.
If they say they did not order
Be polite and ask no questions that sound accusatory. Say "No problem, I will cancel it. Thank you for telling me." Cancel the order in your admin and put the item back in stock.
When a message is enough

Be respectful
Call during sensible hours and avoid late evenings. If the buyer prefers messages, accept that. A confirmation call should feel like service, not pressure. Do not use it to push extra products.
