How do I tell customers when to expect a reply from me?
Say your reply hours once in your bio, your store and your first message, then keep to them, so customers feel looked after even when you are busy or asleep.

Silence is what upsets people
A customer who waits two hours for a reply is not usually angry about the two hours. They are anxious because they do not know if anyone is there. A single clear sentence, "I reply between 10 am and 7 pm", turns anxiety into patience. You are not being slow, you are being predictable.
When you are a one-person business, you cannot be online all day. That is fine. What matters is that customers know what to expect.
Pick hours you can actually keep
Be honest with yourself. If you work a day job, you might reply only in the evening. If you pack parcels in the morning, you might reply after noon. Choose a window you can keep on a bad day, not just a good one.
A realistic promise beats a heroic one. If you say "within one hour" and then miss it, you have created a problem you did not have before. "Within a day" and delivering in a few hours feels like a bonus.
Write it down as three things.
- Your hours, such as 10 am to 7 pm
- Your days, such as Monday to Saturday, with Sunday for rest
- Your typical reply time, such as "within a few hours during these times"
Put it where people will see it
- In your Instagram bio, in a short line
- On your store's contact page
- In the first reply to anyone new
- On your packaging card, if you use one
Your store has a contact page where customers can reach you, so make sure the reply hours you promise match how you really answer. Put the same line everywhere so it never contradicts itself. If your store contact details are not yet set, see set store name, support email and GSTIN.
Use an auto-reply only if you are sure it exists
Many messaging apps offer some form of away message or greeting. Whether yours does, and how it works, depends on your app version and account, so check your own settings before relying on it. If you do find one, keep it short.
"Hi, thank you for your message. We reply between 10 am and 7 pm, Monday to Saturday. We will get back to you as soon as we can."
If there is no such feature, send the same line manually in your first reply to new chats. It takes a few seconds.
Say it kindly
Compare these two lines.
- "Do not message after 7 pm."
- "I am offline after 7 pm to spend time with family, and I will reply first thing tomorrow."
The second is honest, warm and gives a reason. Most customers respect a human boundary.
Handle urgent matters differently
If an order is going to be delivered today and something is wrong, a customer may need you outside your hours. Decide in advance whether you will allow a way to reach you for urgent matters, such as "for a delivery issue today, call this number". Keep this narrow so it does not swallow your evenings.
Keep your promise
Setting a time is half the work. Keeping it is the other half. Set a reminder at the start and end of your window to check messages. Use saved replies for common questions, as in how to answer repetitive WhatsApp order questions faster, so you spend your hours on the conversations that need you.
Festive rush and busy periods
When you know you will be slower, say so early. A line like "We are packing a lot of orders this week, so replies may take a little longer" prepares people. It also fits with communicating festival and weather delays.
Clear hours are one of the cheapest ways to look professional. They cost nothing, and they save you many awkward messages.
