Should I buy 500 boxes at a lower rate or 50 at a time?

Buying boxes in bulk looks like a bargain until you count how long the cash stays locked, so here is the maths for 500 boxes against ten small batches.

A box supplier offers you a deal. Five hundred boxes at Rs 14 each, or fifty at a time for Rs 18 each. The bulk price looks obviously better. Whether it really is depends on how fast you ship and how much spare cash you have.

The headline saving

Put the two options side by side using illustrative prices:

  • 500 boxes at Rs 14: Rs 7,000 paid once.
  • Ten batches of 50 at Rs 18: Rs 900 each time, Rs 9,000 in total.

The bulk route saves Rs 2,000 over the full 500 boxes, which is Rs 4 per box. On paper, an easy win.

Now add time

Say you ship around 50 orders a month and each order uses one box. Then:

  • A batch of 50 lasts one month.
  • 500 boxes last ten months.

With bulk buying, you pay Rs 7,000 on day one and then use the boxes slowly. With small batches you pay Rs 900 a month. In month one the bulk buyer is Rs 6,100 poorer in cash than the batch buyer. That money could have bought stock, paid for ads or covered a slow week.

Money you cannot touch is not savings. It is inventory sitting on a shelf.

Questions to ask before you commit

  • Can you afford to lock up Rs 7,000 without squeezing stock purchases?
  • How sure are you of 50 orders every month? A slow season stretches the ten months into fifteen.
  • Will your products or sizes change? A new product with a different dimension makes the old boxes useless.
  • Do you have dry storage? In humid cities, corrugated boxes can soften and warp when stored badly.
  • Are you planning custom printing? Printed boxes tie you to one design for a long time.

A middle path

You are not forced to pick one extreme. Ask the supplier about 200 or 250 boxes. Even if the rate is Rs 16, you reduce the locked cash and still beat the small batch price. Some suppliers will also hold the larger quantity and release it in lots if you pay a deposit. Ask politely, and get terms in writing.

If you sell several sizes, buy the fast-moving size in bulk and the others in small batches. That way you do not guess wrong on every size at once.

Don't forget the hidden cost of waste

Bulk boxes that you never finish are a loss. If 100 of the 500 end up unused because you changed packaging, the effective price jumps. Spend Rs 7,000, use 400 boxes, and each used box really cost Rs 17.50. That is nearly the small batch rate with extra storage headaches.

Connect it to your unit cost

Buy bulk when your monthly order count is steady, your design is settled and the cash will not starve anything more urgent. Buy small when you are still testing products, still growing unevenly, or when Rs 7,000 is the difference between restocking your best seller and not. A saving of Rs 2,000 over ten months is Rs 200 a month. Make sure that is worth the flexibility you are giving up.
