How do you word Sankranti delivery cut-off messages clearly?

Write the cut-off as an honest dispatch date with a buffer for courier delays, and keep the wording short, specific and kind about late orders.

The words of a cut-off message decide whether a customer feels informed or tricked. The aim is to say exactly what you can do, include a margin for things outside your control, and avoid promising what you cannot guarantee.

Separate dispatch from delivery

You control when you pack and hand over the parcel. You do not control the courier. So frame your promise around dispatch and describe delivery as an estimate.

Weak wording says "Order by the date and receive it before the festival". Stronger wording says "Order by the date and we will dispatch it in time, with delivery estimates shown at checkout". The second keeps you honest if a courier is late.

Build in the buffer

Work back from the festival date, which you should take from a calendar. Take away your packing time, the usual transit for your farthest customers and extra days for delays. The date you get is your cut-off. If you are unsure, set it earlier. A cut-off that is too early costs a few orders; one that is too late costs trust.

Give far-away customers an earlier date than nearby ones if the difference matters, and say so plainly.

Keep it short and specific

A good cut-off message includes four things, in this order.

  1. The last order date.
  2. What that date guarantees, in terms of dispatch.
  3. What happens after it.
  4. How to reach you.

Here is a sample you can adapt: "Last day to order for Sankranti dispatch is [date]. Orders placed by then will be packed and sent in time, and delivery timing is an estimate depending on the courier. Orders after that will ship once the festive rush ends. Questions? Message us."

Tone

Keep a friendly, straight tone. Avoid pressure words that make people feel rushed. Do not hide the rule in small print. People forgive a clear limit but resent a surprise.

Where to place it

Put the message where customers look before ordering.

  • Your store announcement bar. In Varchas Stores you can edit this text in Settings.
  • Your Instagram bio and highlights.
  • The caption of festive posts.
  • Your WhatsApp status and broadcast.
  • Auto replies and saved replies.

Message the day before and the day of

Repeat the date as it approaches. A reminder the day before and a last call on the day catch people who scroll past the first post. After the cut-off, replace the message with a clear note on when new orders will ship.

Handle the late orders you cannot meet

Decide your reply before the rush. A polite answer such as "This order came in after our festive cut-off, so it will ship on date]. If that is too late for you, we are happy to cancel and refund" keeps the customer informed and in control. Our guide to [communicating festival and weather delays covers what to say if the courier lets you down.

Do not claim certainty you lack

If you cannot guarantee a date, do not state one. Say "estimated" and explain. Over time, customers learn that your words are reliable, which is worth more than any single festive sale.
