What every good request has

Three parts, in this order. A thank-you, a light question about how the product is going, and one clear way to respond. Keep the whole thing short enough to read without scrolling. Use the customer's first name and the product name so it never feels copied.

Send these only after the order has arrived and you have no open complaint with that customer. If you are unsure about timing, read when and how to ask for a review first.

Template one: the simple version

"Hi Kavya, hope the tote bag reached you safely. If you have a minute, I would love to know how you are finding it. Your honest feedback helps me improve. Thank you again for ordering."

This works for almost any product. It does not even ask for a rating, it only starts a conversation. When the customer answers, you can then say, "Would you mind if I shared that as a review?"

Template two: with a link

"Hi Suresh, this is Rekha from [Store]. Your masala box should have arrived by now. If you enjoyed it, you can leave a rating on your order page here: [link]. If anything was not right, please reply to me directly and I will fix it."

The final line matters. It tells unhappy customers they have a quick, private route to you, which is better for both of you.

Template three: for gifts

"Hi Anita, I hope the hamper reached your friend in good shape. Did it arrive neatly? If you or your friend would like to share a few words, I would be very grateful."

For gifts, the buyer often has not seen the product themselves, so ask about the delivery and presentation, not about use.

Template four: for products that need time

"Hi Rohan, it has been about two weeks since your skincare set arrived. I know products like this take a little time to judge. How has your skin been feeling? Whenever you are ready, a short review would mean a lot."

Adjust the time to your product. Do not claim any result for the product in your message. Let the customer say what they experienced.

Template five: a gentle follow-up after silence

Use this only once, and only if you did not get a reply to the first message.

"Hi Kavya, just a small note in case my earlier message got buried. No pressure at all. If you ever want to share feedback, I am always here. Thank you for your support."

After this, stop. One follow-up is the limit.

Template six: after a problem was fixed

"Hi Suresh, I am glad we could sort out the size exchange. If you are happy with the new one, I would appreciate a few words about how it fits. If anything is still off, tell me and I will keep working on it."

Things to avoid in your wording

  • Do not write "please give 5 stars". You are asking for feedback, not a score.
  • Do not offer a discount or gift in return for a good review. That can push people to be less than honest, and rules vary by where the review is posted, so check before you consider any such idea.
  • Do not copy the same message to a long list at once. Send each one individually.
  • Do not guilt the customer, for example "I worked so hard on this order".

Save and adjust
