How do I reply to a bad review without getting defensive?
Reply with a calm four-step pattern of thanks, acknowledgement, a concrete fix and an invitation to talk privately, and write it for the shoppers who will read it later.

Your first job is to wait
A bad review stings, especially when you worked hard on the order. Do not reply in the first hour. Read it, walk away, have a cup of tea, and come back when the sting has faded. A reply written angry is read as angry, by the customer and by everyone who scrolls past later.
Remember who you are writing for
You are writing for the unhappy customer, yes. But you are also writing for dozens of future shoppers who will read both the complaint and your answer. Most of them will judge you more by how you respond than by the complaint itself. A calm, fair reply shows what you are like when things go wrong.
The four-step pattern
- Thank them for telling you.
- Acknowledge what went wrong without arguing.
- Say what you will do, or have done.
- Move the conversation offline.
Example: product arrived late
"Thank you for letting us know, Rohan, and I am sorry the order took longer than you expected. I understand how frustrating it is to wait. I have checked the tracking and shared what I found with you on WhatsApp. Please message me there so I can look into it properly."
Notice what is missing. There is no blame on the courier, no excuses and no long explanation. A short acknowledgement is enough.
Example: product did not match expectations
"Thank you for the honest feedback, Meena. I am sorry the colour looked different from what you expected. Screens can vary and I will review how we describe it. I would like to help, could you message me on WhatsApp so we can find a fair solution?"
Example: you believe the customer is mistaken
This is the hardest. Resist the urge to correct them in public.
"Thank you for writing, Suresh. I am sorry your experience was not what you hoped. I would like to understand exactly what happened, so please contact me at [number] and I will look into it right away."

What to avoid
- Do not argue point by point. It makes you look defensive, even if you are right.
- Do not blame the customer, for example "you did not read the description".
- Do not share private details of their order or address in public.
- Do not offer a refund or freebie in a public reply just to quiet them. Settle it in private, according to your policy.
- Do not ask them to remove or change the review as a condition of fixing the problem.
Take it offline, then close the loop
Once the issue is solved in private, you can add a short follow-up if the platform lets you, such as "Update: we have sorted this with the customer, thank you." Do not push the customer to change their review. If they choose to, that is their call. A resolved problem often reads better than no problem at all, but you cannot promise a changed rating, so do not plan on one.
Learn from it
After you have replied, ask yourself what you can fix. If three people say the sizes run small, your size chart needs work. If two mention late delivery, your timelines are too hopeful.
